How KármánLogs collects, uses, stores, and protects your information across the KármánLogs app and the karmanlogs.com website.
1. Who we are
KármánLogs builds aviation tools for pilots, including a digital logbook. This policy explains what we do with your information and the choices and rights you have.
The data controller responsible for your information is KármánLogs LLC(“KármánLogs”, “we”, “us”, or “our”), a limited liability company based in Florida, United States. You can reach us at privacy@karmanlogs.com or by mail at [mailing address].
This policy covers the KármánLogs app (the “App”) and our website at karmanlogs.com (the “Site”). By using the App or Site, you agree to the practices described here.
2. Information we collect
We collect only what we need to run the App and provide the features you use. The categories below describe what we collect and why.

We do not collect your contacts, photos, biometric identifiers, or payment card details, and we do not track your location in the background for any purpose other than the flight logging described below.
Sensitive information.Medical certificate details can reveal information about your health, which is treated as a “special category” of personal data under European law. We collect this information only so that you can record and track your own medical currency, we do not use it for any other purpose, and we do not share it for advertising. In regions that require it, we rely on your explicit consent to process this data, and you can choose not to enter any medical information at all.
Location. If you turn on automatic flight logging, the App uses your device location, and where needed motion and sensor data, to detect takeoff and landing and to record your OOOI flight times. We collect this only while the feature is enabled and only with the permission you grant through your device. You can turn location access off at any time in your device settings, and the rest of the App will continue to work.
3. How we use your data
We use the information we collect to:
- Provide, maintain, and sync the App and your logbook.
- Authenticate you and keep your account secure.
- Automatically record your flight times where you enable location-based flight logging.
- Provide AI-assisted features when you choose to use them.
- Diagnose problems, monitor stability, and improve features.
- Respond to your support requests and communicate about your account or important changes.
- Send you marketing or promotional emails about KármánLogs, where permitted. You can unsubscribe at any time using the link in any marketing email, and you will still receive essential account messages.
- Comply with legal obligations and enforce our terms.
We do not sell your personal information, and we do not use your flight or logbook data for advertising.
4. Legal bases for processing (EU / UK)
If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases under the GDPR and UK GDPR:
- Contract: to provide the App and the features you sign up for, including storing and syncing your logbook.
- Legitimate interests: to secure our service, prevent abuse, and improve the App, balanced against your rights.
- Consent: for analytics and diagnostics where consent is required in your region, for location-based flight logging, and for marketing emails. You can withdraw consent at any time in the app or device settings.
- Explicit consent: for special-category data such as your medical certificate details, where your region requires it.
- Legal obligation: where we must process data to comply with applicable law.
5. Where your data is stored and who processes it
Your logbook and account data are stored primarily in Apple iCloud (CloudKit). We use a small set of trusted service providers (“sub-processors”) to operate the App. Each only receives the data it needs, and only to perform services for us.

Note:Each provider has its own privacy practices. We recommend reviewing Apple’s, Google’s, Supabase’s, and Anthropic’s privacy policies for details on how they handle data as our sub-processors.
Other disclosures. We may disclose your information if we believe it is reasonably necessary to comply with a law, regulation, legal process, or governmental request, to enforce our Terms, or to protect the rights, safety, and security of our users, the public, or KármánLogs. If KármánLogs is involved in a merger, acquisition, financing, or sale of all or part of its business or assets, your information may be transferred as part of that transaction; we will require the recipient to honor this Privacy Policy or notify you of any material change.
6. AI features and the Claude API
Some features use artificial intelligence to help you. When you use one of these features, the text and data you submit are sent to Anthropic through the Claude API so it can generate a response. This happens only when you actively use an AI feature.
Anthropic processes this input as our service provider in order to return a result to you. Based on Anthropic’s commercial API terms, inputs and outputs submitted through the API are not used to train its models, and are retained only for limited operational and safety purposes. We do not use AI feature input for advertising, and we do not send your input to any AI provider other than as described here.
If you prefer not to share data with an AI provider, simply do not use the AI-assisted features. The rest of the App works without them.
7. International data transfers
We are based in the United States, and our providers may process data in the United States and other countries. If you are in the EEA or UK, this means your data may be transferred outside your home country.
Where we transfer personal data internationally, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses (and the UK Addendum) with our providers, or other lawful transfer mechanisms. You can ask us for more information using the contact details below.
8. Data retention
We keep your account and logbook data for as long as your account is active. If you delete your account, we delete or anonymize your personal data within a reasonable period, except where we must keep certain records to comply with legal obligations or resolve disputes.
Analytics and diagnostic data are kept only as long as needed for the purposes described above, after which they are deleted or aggregated.
You can request deletion of your data at any time. See Section 11, Your privacy rights.
9. Security
We use reasonable technical and organizational measures to protect your information, including encryption in transit, access controls, and reliance on Apple’s iCloud security for stored data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and to address issues promptly if they arise.
Your logbook is stored in your own Apple iCloud account, encrypted by Apple, and the App provides automatic backups and CSV export so you can keep your own copy. No storage or backup system can be guaranteed against loss, so we recommend keeping your own exported backups. How responsibility for any loss of data is handled is described in our Terms of Service.
10. Children and minors
The App is an aviation tool intended for pilots and student pilots. It is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that we have collected data from a child under 13 without appropriate consent, we will delete it promptly. If you believe a child under 13 has provided us data, contact us at privacy@karmanlogs.com.
Some users, such as student pilots, may be teenagers. Where you are below the age of digital consent in your country, you may need a parent or guardian’s involvement:
- European Economic Area: the age of digital consent is between 13 and 16 depending on the country. If you are under that age, a parent or guardian must consent on your behalf.
- United Kingdom: the age of digital consent is 13. We also have regard to the UK’s Age Appropriate Design Code when designing features used by people under 18.
- United States: the App is not intended for children under 13 (COPPA). Users aged 13 to 17 should use the App with the involvement of a parent or guardian.
Parents and guardians may contact us to review, correct, or delete a minor’s information.
11. Your privacy rights
Depending on where you live, you may have some or all of the following rights over your personal data:
- Access: request a copy of the data we hold about you.
- Correction: ask us to fix inaccurate or incomplete data.
- Deletion: ask us to delete your data.
- Portability: receive your data in a portable format.
- Restriction & objection: ask us to limit or stop certain processing.
- Withdraw consent: withdraw consent where we rely on it, without affecting prior processing.
- Opt out of marketing: unsubscribe from promotional emails at any time using the link in any such email.
To exercise any of these rights, contact us at privacy@karmanlogs.com. We will respond within the time required by applicable law. You will not be charged or treated differently for exercising your rights.
If you are in the EEA or UK and believe we have not handled your data properly, you have the right to complain to your local data protection authority. We would appreciate the chance to address your concerns first.
12. California privacy rights (CCPA / CPRA)
If you are a California resident, you have the right to know what personal information we collect, to request access to or deletion of it, to correct it, and to not be discriminated against for exercising these rights.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under California law. For users under 16, we do not sell or share personal information.
To make a request, contact us at privacy@karmanlogs.com. We may need to verify your identity before responding. You may also use an authorized agent to make a request on your behalf.
13. Cookies and the website
Our website, karmanlogs.com, uses only the cookies and similar technologies needed to make the Site work and, where applicable, to understand Site traffic. Where required in your region, we ask for your consent before setting non-essential cookies. You can control cookies through your browser settings.
The App itself does not use advertising cookies.

15. Changes to this policy
We may update this policy as the App evolves or as the law changes. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you in the App or by email. Your continued use of the App after an update means you accept the revised policy.
